Trustfile 2010 FAQ

 

Software Download

 

How do I get access to the software download?

  • Click here to go to the new TrustFile User Center, or go to: https://www.Avalara.com/Login/TrustFileAccount.
  • Use the form on the left to Login with your User Name (registration email - example: name@domain.com), and 'Password' (that you used in 2009 or created to purchase the 2010 software). If you have forgotten your password, click 'Forgotten password' enter your information to receive your user name and password via email. If you need assistance, email or call support at 877-222-0187.
  • Verify your information on the 'Account Details' page.
  • Clicking the product link on the 'Download' section of the User Center will begin the software download.
  • Locate your Serial Number(s) and link(s) to download Product Manual PDF(s) in the 'Download' section of the User Center.

What’s New for 2010? 

  • New software for sales and use tax e-filing preparation in Georgia and Kansas
  • Added functionality to TNFile to allow for transmission of Business Taxes

E-Filing

 

 

Will my e-filing registration with the DOR carry over from last year?

Please verify the e-file enrollment status for each company that you intend to file for.  States do require proper enrollment to ensure processing of a successfully submitted return.  Those returns sent by entities that are not registered for e-filing from a software vendor may be subject to rejection from the DOR.  To avoid this scenario, simply verify status with the state. 

If I already have the software, can I just add additional companies within my purchased license agreement to begin e-filing?

 

Yes, you may add the companies to the software, although you should confirm proper e-filing status with the DOR to ensure successful handling upon their receiving your file. Non-enrolled filings are rejected.

 

What happens if my filing is rejected? How will I know?

 

When a rejection occurs, Trustfile is notified by the Department of Revenue processing centers with the reason of failure.  As part of our customer service offering, we will contact the affected tax payer within 24 hours of receipt of the rejection along with information on how to resolve the issue.

 

IMPORTANT NOTE: Please make sure that all contact information within the software is kept up-to-date.

 

When e-filing my return, when is the typical deadline for submission?

 

The actual return deadline is typically the 20th of the month following the reporting period.

 

Example: The deadline for January (Period 1) is February 19,2010.

  • When sending just a return without payment, the filing is processed the day of transmission (cut off times may vary by state).  The deadlines are normally the 20th.
  • When sending a return and payment, payments are always processed the following business day. Therefore, electronic transmissions must be submitted by the 19th in order for the payment to be processed by the 20th deadline.
  • Please note that when the actual deadline falls on a weekend, e-filers must submit the filing on the business day previous to the deadline for proper processing. 

 

Software Installation / Operations

 

 

Will the software work properly on Windows 7 or Windows Vista?

 

Yes, the 2010 software will work with Windows 7 and Windows Vista.  Please note the following settings that you must take into consideration prior to running the installs on these systems.

 

For state software applications IL, CT, PA, NJ, MD, KN, GA:

  • Locate the setup file for the software named XXFile2010Setup.exe.
  • Right-click on the file and select Properties.
  • Select the Compatibility tab at the top of the window that opens.
  • Select the checkbox for Compatibility Mode to XP.
  • Select the checkbox for Privilege Level to run this program as an administrator.
  • Once both of these items are set, the install procedure can continue.

For all Trustfile software products:

  • Do not install the software inside of the default C:\Program Files\Trustfile location.
  • You must create a folder outside of that default location, recommended under the C drive, where you will install the files. (Example: C:\Trustfile)

How do I convert my data from the previous year?

 

 If you have Trustfile 2009 and would like to transfer your company and relevant information to the 2010 year application, the 2010 version MUST be installed on the same system as the 2009 version. 

The conversion process will initiate upon first run of the software.

 

For state software applications FL, SC, TN, WI, LA:

  • There is a function that will allow you to point to your previous year directory and initiate the conversion process manually if the data transfer doesn’t occur during the first  run of the software.
  • From the Menu Bar, go to Utilities  > Convert Last Year Data.
  • Then point to the location of your previous 2009 year directory. 

I’m using a new PC, but I have a backup of my old hard drive.  How do I restore my data to the sales tax software?

 

Please note that you can only restore data in a Trustfile software program from the same year.  If you have data from an install for a previous year, a conversion will need to be done before porting data over to a future year.

 

For state software applications FL, SC, TN, WI, LA:

  • Locate the working directory from the hard drive backup. The default would have been C:\Program Files\Trustfile\XXFile2010\data.
  • Install a clean version of your software.
  • Copy the data folder from your old program directory  into the new installation directory overwriting the data folder.
  • This can only be done with the same year versions, not conversions from different years (example: 2009 and 2010). 

    NOTE: Use the Backup Data Utility from the software under Utilities > Backup Data to ensure proper monthly backup.

For state software applications NJ, CT, PA, IL, MD, GA, KN:

  • .NET applications store data in the default location of C:\Program Files\Microsoft SQL Server\MSSQL$TRUSTFILE\Data.
  • 2 files that make up the data for state applications named “XXFile2010.mdf” and “XXFile2010_log.LDF.
  • Locate and copy these files from the directory of the hard drive backup.
  • Install a clean version of the software.
  • Paste the previous data files (“XXFile2010.mdf” and “XXFile2010_log.LDF) into the data directory of the new install folder. (Default C:\Program Files\Microsoft SQL Server\MSSQL$TRUSTFILE\Data).

    NOTE
    :  Use the Backup Database Utility from the software under Tools > Backup Database to ensure proper monthly backup. 

I would like to install a client/server setup.  Is there anything I should consider?

  • There is only one version of our software, and it will install to a network as well as a local machine.
  • When installing to the server, the user must install to a local drive (as opposed to installing to a network drive not connected to the system being installed on).
  • When mapping a drive to the run time directory (for the workstation setup), each workstation should use the same drive letter.
  • If running the program from a network, the users involved share the same data which is stored on the server (not the workstation).

 

Data Entry / Functionality 

 

 

Do I have to use the software wizards?

 

For state software applications FL, SC, TN, WI, LA:

 

The wizards are there to create a simple step by step interface to enter and transmit your taxes.  You can use the same functions from the Menu bar to access the same information and more.

 

How do I configure a spreadsheet file to import my tax return?

 

From your software’s menu bar, Go to Help > [Software] Help and search Import to find instructions that will provide info on setting up and importing data. Please contact support if you need additional assistance with the import process.

 

 

Transmission Status and Problems

 

 

I just tried to transmit my sales tax filing for this period, and it’s giving me the following error message “Get Access Permit Unsuccessful”. My Internet is on and I was able to file on last month. What’s wrong with my software?

 

Antivirus programs, spam blockers, or any type of security software that interacts with the internet must be accounted for when transmitting via your internet connection. You may have to modify your security applications to allow Trustfile software access to the internet. 

 

If you use a firewall, please note the following settings for transmissions:

  • Port 443 must be open for inbound and outbound transmissions (this is the SSL/HTTPS port)
  • Allow access to Trustfile's IP address: 69.2.33.165
  • Allow for SOAP & headers

I submitted my sales tax filing over a week ago, but the DOR says they do not have my return.  My transmission status reports read accepted. What happened to my filing?

 

Successfully submitted filings to the state may be rejected for improper data reporting, un-enrolled status, or some other issue.  Make sure your contact information is up-to-date within the program, as we utilize this to contact users within 24 hours of the rejection notice.  We will assist you in resolving filing-related matters with the state.

 

I just transmitted a return with a zero payment amount in FLFile.  How do I go in and send a payment only for the correct amount?  

  • From the Menu Bar, select File > Select Company Location and Filing Period.
  • Select the right company and period that you need to pay.
  • Go to Payment  > Sales Tax.
  • Change the File and Payment Options to “Pay Electronically Only.”
  • Change the Payment Type to something other than “Tax Payment.”
  • Enter Payment Amount, and click OK.
  • Go to Transmit > Sales Tax  and proceed with sending a transmission.
